1. Why are spreadsheets not HIPAA secure and compliant? 

There is a huge difference between being HIPAA secure, and HIPAA compliant. HIPAA compliance does not necessarily mean that your information is secure and vise versa.

Spreadsheets as a stand alone solution are very easy to break into even when they are password protected. Numerous third party software exist to break the password of a spreadsheet file. Moreover, spreadsheets are not reliable especially if the file becomes corrupted and there is no backup or contingency plan. Spreadsheets are not HIPAA secure in that manner, and much of the information shared on them are not HIPAA compliant.

2. What is authorized shared access?

Authorized shared access is our one of a kind feature that allows easy collaboration between organizations, supervisors, supervisees, and universities through a shared key. Only the "minimum necessary" patient health information is shared through this access to ensure HIPAA compliance and HIPAA security.

3. How does authorized shared access work?

Just like on a social network, each user has the option to share information with other users. Each user will be given an assigned key which when given to others, can unlock the "minimum necessary" patient health information when granted access. Consider the following scenario below:

Supervisor John Doe gives his shared key to supervisee Jane. Jane proceeds to add her supervisors key in John Doe’s profile and grants access. 

John Doe is now able to view Jane's fieldwork experience & task list assignments whenever/wherever he is listed by Jane.

If Jane does not give her shared key to John Doe (assuming John would grant access). Jane cannot see fieldwork experience & task list assignments

whenever/wherever she is listed by John Doe.

4. Is there a difference in shared authorized access in the Fieldwork Experience & Monitoring System® between free and premium accounts?

Yes. Free accounts can only use the feature in the task list assignments related to the Behavior Analyst Certification Board (BACB). Premium accounts can access and share information up to the full potential of the program.

5. Is there a business account? 

We are currently developing a business account. It will feature extremely advanced features that the community can take advantage off. It is currently not available until it passes all of our security tests.

6. Is there an account for professors in Universities in an authorized ABA curriculum?

Yes. Please contact us for more details. 

7. How much does it cost to sign up? 

Nothing! Registration is free. Click HERE to sign up!

8. Can we easily extract our data out of FEMS®? 

Yes! Whether it is a free or premium account, you can easily extract your data in a PDF, DOCX, or CSV formats. We will only keep your data for 7 years as part of our agreement policies, which is also in compliance with HIPAA regulations

9. How do I sign up for a premium account?

In order to sign up for the premium account, you can click here to sign up for the free account, and once you are signed up you can sign up for the premium account in the shop feature once logged in.

10. If I use a cloud service for work, am I HIPAA Compliant?

In order to be HIPAA compliant while using a cloud service, a business agreement with the provider must be signed. If there is no official agreement, then you will not be considered "in compliance".
